Their workflow was entirely manual and inefficient: - Teams had to manually download multiple files from Sessionize (speaker application platform) for each event - Data then required manual uploading and processing in Google Sheets - Statistical analysis and speaker selection had to be done manually - Approved speaker lists needed to be downloaded from sheets and manually uploaded to Sched.com for notifications - Fraudulent attendee detection through Cvent required separate manual checking - These same processes were repeated by teams worldwide on an almost daily basis The manual approach was time-consuming, error-prone, and frustrating for teams who were managing multiple high-profile events simultaneously across different time zones and regions.
The Solution
I developed a comprehensive automation platform using Google Apps Script that seamlessly integrated all their essential event management tools: Google Sheets, Sessionize, Sched, and Cvent. The unified system included several powerful automation features: - Automatic data pulling from Sessionize directly into Google Sheets, eliminating manual downloads and uploads - Intelligent data processing and formatting that standardizes information across all global events - Automated statistical analysis and reporting for speaker applications and approvals - One-click upload system for approved speakers to Sched.com with automatic notification triggers - An integrated fraud detection system that identifies suspicious attendees through Cvent with a single click - Streamlined workflow that connected all platforms into one cohesive process - Global accessibility allowing teams worldwide to use the same system The solution was designed to handle the complexity of managing multiple simultaneous events across different countries while maintaining consistency and accuracy.
